Build a Monitoring Plan in 7 Steps
Many teams "do monitoring" without ever framing it. The result: too many tabs, too many alerts, and the important signal goes unnoticed. A monitoring plan fits on one page and is built in seven steps.
1. Define the starting question
Monitoring answers a decision question: what must we never be caught off guard about? State it in one sentence before looking for any source.
2. Map the themes
Break the question into 3-5 themes (competitors, regulation, technology, market). Each theme becomes a monitoring folder.
3. Choose the sources
For each theme, list the reference sources: trade media, official sites, expert blogs, RSS feeds. Ten good sources beat a hundred average ones.
4. Set the cadence
Some monitoring is daily, some weekly. Decide the reading frequency per folder, or you will read everything, all the time.
5. Filter
Define rules: keywords to follow, topics to exclude. The filter turns a raw feed into an actionable signal.
6. Analyze and prioritize
Collecting is not enough. Set aside a short, regular slot to separate what deserves action from what is just noise.
7. Distribute
Useful monitoring is shared monitoring: weekly digest, targeted alert, internal newsletter. Without distribution, the effort stays invisible.
A monitoring plan is not fixed: adjust it every quarter based on what actually proved useful.
